        Happy November! This year seems to just keep flying by. With so much going on in the real estate market and the note market some people find it hard to stay focused and be professional.  Remember first and foremost that the note and real estate business is just that, a real business.  Just because we get to work from home in our pajamas or shorts does not mean that we can let our hair down and act in an unprofessional manner when we are talking to people on the phone or emailing them.  It's not only about first impressions but also about lasting impressions. So this month I want to give you my thoughts on how to leave a professional business like phone message.

        Recently I have received several phone messages, or voicemails as we like to call them these days, from  note brokers and people in the industry that were not up to par and very unprofessional in my opinion.  Here are a few voice mails I received this week:

 

    - He left a five minute story before he said his name and phone number, then he said it so fast I had to listen to the entire message two more times to get the phone number correct;

    - She was calling from a cell phone with lots of background noise and I couldn't hear half of her message;

    - He rattled off his name, company name and phone number so fast that I couldn't understand a word he said

    - Her voice was so low that even when I turned up the volume on my answering machine I could not make out the entire message or her phone number

    - She left a message as she was picking up his son from school and she interrupted her message to me three times telling her son to wait a minute

 

And these were all in just the last few days.  I think you will agree that these messages can be put into the unprofessional category and may leave a negative impression on the person listening to the message.

 

        I've been leaving messages for years and I found some tips at www.2minuteswith.com that I thought would be helpful and good to share with you:

 

How to leave a professional business like phone message

 

    1) State your name and company name CLEARLY and slowly

    2) State your phone number CLEARLY and slowly

    3) In 1-2 sentences state the reason for your call

    4) State your name and phone number again CLEARLY and slowly

    5) Thank the person in advance and hang up

 

        Whether you are in your pajamas working from home or in a business suit sitting in a corner office, any voice mail messages you leave need to be professional and business like.  Keep that in mind the next time you call someone and you have to leave a voice mail message.  If you are not prepared properly to leave a professional message, hang up and call back when you are prepared. Then, make it a habit to leave professional messages all the time.
