Important Information about Expenses
Hi everyone,
As we head into the final few days of the Festival, we would like to thank you all for all of the hard work you have done.
The last 2 weeks have had their challenges, but we have all come together and delivered a fantastic experience for both the participants and the audiences.
We hope that you have enjoyed yourselves along the way.
To ensure that we are fully compliant with financial regulations, the following processes for expenses have been put in place, effective immediately. The process applies to everyone involved in the Festival - volunteers, participants / production companies, the Committee.
- expenses will only be reimbursed if they are pre-approved by two committee members in writing (text / email / handwritten)
- if approval is not sought prior to the expense being incurred, there will be a committee meeting to review the validity of the expense. This may take up to 6 weeks after the Festival ends. It will be the responsibility of the expense requestor to prove that this expense was appropriate and wholly and exclusively for the running of the Festival and its events). The final decision will be made by the Festival Executive Committee
- no expenses can be claimed or reimbursed without providing an itemised receipt or invoice. You can email this to finance@gaytheatre.ie.
- box office: floats should not be spent under and circumstances. Any usage of the float, other than to provide change to paying customers will result in a Committee review.

Why do we need this policy?
Remember that we are a 100% voluntary and not-for-profit organisation. All money that comes into the Festival is used to fund LGBTQ+ theatre, our production companies and to support the event. That is why we closely monitor all money that comes in or out of the Festival.
Every euro really counts - which is why, for example, we have been encouraging you to sell as many raffle tickets as possible!
We also need to ensure fairness, consistency and transparency for everyone involved in the Festival.
