Deadline Extensions
 
If you need to extend a deadline for a program designation then please e-mail the NursingCAS Manager. Include the name of the designation(s) and the deadline extension date. Additionally, NursingCAS can send a blast e-mail out to the applicants in the system to notify them of the deadline extension.
 
If you would like to extend the deadline only for an individual applicant or a group of applicants then please include the name(s) and NursingCAS ID number(s), as well as the exact program designation(s) they are applying to and the deadline extension date.

Choose Your Preference for a Cycle 2 Closure Date
We are currently in NursingCAS Cycle 2, which launched on August 15, 2011. Once NursingCAS Cycle 2 closes this summer 2012 in order to allow for important enhancements, applicants will no longer be able to e-submit their application to any Cycle 2 designations after the closing date. 
 
The NursingCAS team has reviewed data regarding the number of applicants who e-submit by month and deadlines of current schools in order to pick the best date since last year's date (August 1 - August 15, 2011) was not ideal for some schools. We have identified two alternative options, in addition to last year's option:
  • July 2 - July 15, 2012
  • July 16 - July 30, 2012
  • August 1 - August 15, 2012
Please choose your preference via this survey, https://aacn.wufoo.com/forms/nursingcas-cycle-2-closure-date-midcycle-survey, and based on the results, we will set a time frame. You have until Friday, February 10, 2012 to complete this survey. Please pass this survey and information on to other NursingCAS users at your school. Note there are two additional questions on this survey that the NursingCAS staff would like your feedback on.
 
Based on school and applicant feedback and recommendations from the advisory group, we have proposed roughly 40 enhancements to the NursingCAS application, below are some examples:

  • Ability for Applicants to upload multiple documents to their application, including their RN license
  • Provide a GPA for Nursing Courses
  • Designation Business Rules
  • Ability for Schools to Manage Designations
  • Ability for Schools to Display Designations before they are live and applicants can apply
Due to the importance of these enhancements and the number proposed, it is necessary to have a closure again this cycle. We want to ensure that schools and applicants are aware of the closure date and the implications of this well in advance to avoid any issues. Please note, it is still a goal to move towards a continuous application cycle for NursingCAS and to have no closure in future cycles, but currently the need for enhancements outweighs the need to remain open.

Personal Statement Update
NursingCAS is pleased to announce that a change has been made to the applicant portal to help applicants that may not have attached a personal statement to their application when they first e-submitted. 
 
This change now allows applicants to log back into their application and add a personal statement to any designation that does not already have a personal statement attached to it, even if they have already selected that designation and e-submitted.
 
There is a new "Personal Statement Panel" in WebAdMIT. The personal statements completed by applicants are now visible on the applicant details page. A new panel, called “Personal Statements” will show each of the statements that an applicant has designated for your program. The contents of each statement may be viewed on screen in the “Details” panel.

 
Review your NursingCAS Listing
Attention: If you need to deactivate a listing, change a deadline, or make any changes, please notify NursingCAS immediately. 
 
To review your listing, you need to create a test application. To create a test account, visit https://portal.nursingcas.org, click on “Create Account”, in the “First Name” field put your name followed by the word test, for example “CarolineTEST”. This is important so we can separate out test applicants from actual applicants.

If your school has both undergraduate and graduate programs listed please create two separate test accounts, one for undergraduate and one for graduate. To create an undergraduate test account, choose "Yes" to the question, "Are you currently a high school student". To create a graduate test account, choose "No" to the question, "Are you currently a high school student". In order to create both an undergraduate and graduate test account you must use two different email addresses. 
 
Once you are logged into your test account you will be directed to your application homepage. Then click on the last option “Designations” and “Add” then scroll down or search for your program and check to ensure the program and/or track names and the deadline(s) listed are accurate. For instructions with screenshots on how to review your listing, review slides 6 – 10 on this PowerPoint presentation.

Comparative Reports Available in WebAdMIT
WebAdMIT recently released an update on Comparative Reports, which provide summaries of applicant data for an individual program and the entire NursingCAS pool. Comparative Reports are now available under the Report Manager. These reports may be run at any time during the application cycle and may be run against any List of Applicants. To learn more about Comparative Reports, register for one of two Webinar training sessions offered by WebAdMIT using the links below.

Would you like to take a tour of NursingCAS headquarters and see first-hand how documents are processed and transcripts are verified? Attendees will have an opportunity to meet and ask questions of the NursingCAS and WebAdMIT customer service and technical team, and meet other NursingCAS users.

Please Read the Important Closure Information Below
 
What Does the Closure Date Mean?
Please consider your deadlines and the following facts in order to understand what the closure date will mean for you and your applicants:
 
1.)   All documents must be processed by the closure of cycle 2 of NursingCAS. That means for any cycle 2 designations, if you pick July 2 – July 15, 2012, then all documents must be processed by July 2, 2012. If you pick July 16 – July 30, 2012, then all documents must be processed by July 16, 2012. If you pick August 1, 2012, then all documents must be processed by August 1, 2012.
 
2.)   If an applicant e-submits on the closing date they will not be eligible to be a re-applicant. However, if they become verified after they e-submit two weeks prior to the closing date, then they will be eligible to be a re-applicant.
 
3.)   In order for an applicant to be eligible to be a re-applicant they need to have all documents in, processed, and verified by the closure date. 
 
4.)   Therefore, we recommend that all programs move up their deadline up roughly two weeks for any cycle 2 designations that fall before the closure date.
 
a.     Therefore, if you choose July 2 – July 15, 2012 as the closing date, then all deadlines must be set at June 15 (two weeks before the closure).
b.    If you choose, July 16 – July 30, 2012 then all deadlines must be set for July 2.
c.     If you choose, August 1 – August 15, 2012 then all deadlines must be set for July 18.
 
5.)   The reason for moving the deadline back two weeks from the closure date is so that the most number of applicants will be eligible to be a re-applicant. If schools want applicants to be able to take advantage of the re-applicant feature they should have their final deadline be no later than two weeks before NursingCAS closes. 
 
6.)   During the closure NursingCAS will continue to process and verify documents, as well as calculate GPAs and send completed applications to designated programs. The last day documents will be accepted and processed for cycle 2, is the last day of the closure date (i.e., July 15, July 30, or August 15, depending on the closure date selected). However, please note that applicants who do not get their transcripts in before the first day of the closure date will not be eligible to be a re-applicant.
 
7.)   All transcripts received by the last day of the closure date will be put in the verification queue and NursingCAS will verify them and the information will be available to designated programs. However, these applicants who are verified after the first day of the closure date will not be eligible to be a re-applicant.
 
Re-applicant Information
Who can be a re-applicant?
 
1.)   An applicant is eligible to be a re-applicant in cycle 3 of NursingCAS if they are verified, meaning they have e-submitted their application two weeks prior to the first day of the closure date and all of their official transcripts have been received in time for NursingCAS to verify their information and calculate their GPA prior to the first day of the closure date.
 
What does it mean to be a re-applicant?
 
1.)   Re-applicants can import their information from the previous cycle.
 
2.)   Most application fields and verified transcripts (transcripts containing coursework calculated into the GPA by NursingCAS will be imported into the new application).
 
3.)   All course work entered in by the applicant will carry over.
 
4.)   Personal Statements are NOT carried over and NursingCAS strongly advises applicants to compose new personal statements in the next cycle if they are a re-applicant.
 
5.)   Letters of reference, payments, and unverified transcripts will not be carried over and must be re-submitted in the next cycle.
 
6.)   Re-applicants should review their application in cycle 3 to ensure that all sections of the application are complete, as there may be new sections due to the enhancements. And it may not be apparent to an applicant based on their checklist if something is missing, especially if the field is not required.
 
Points of Emphasis:
1.)   Depending the closure date, all cycle 2 program designation deadlines will need to be moved up two weeks prior to the first day of the closure date. This will allow for the most number of applicants to be re-applicants in cycle 3.
 
2.)   The last day you will be able to extend a program deadline for would be the day before the first day of closure date (i.e. July 1, July 16, or August 1, depending the closure date selected). Note that if you extend the deadline anytime during the two weeks before the first day of the closure date, then those applicants will likely not be eligible to be a re-applicant due to the way the database and processing for NursingCAS is designed.
 
3.)  For applicants who have planned/in progress course work listed and not verified by the time the cycle closes, it will not carry over. And the applicant (if they are otherwise verified) will have to enter in the updated course work information and provide those transcripts for verification during the new application cycle
 
4.)   Schools that will be impacted are those who have deadlines two weeks before and after the closure date. 
 
What happens during the closure period?
 
1.)   Applicants will not be able to create a new application.
 
2.)   Applicants will not be able to select additional designations or e-submit their application.
 
3.)   Applicants who have submitted and paid will be able to access their application and submit missing transcripts.
 
4.)   Only applicants who have e-submitted, paid, sent in all official transcripts, and are verified by the day before the closure date will have the ability to carry over application data into the new application cycle as a re-applicant.
 
5.)   Any applicant who is not verified before the closure date will not be able to carry over their information and be a re-applicant in cycle 3 of NursingCAS.
 
How Does the Closure Impact WebAdMIT?
1.)   Your WebAdMIT portal to access your cycle 2 applicants will not close and you will continue to have access to it for a full year after the cycle 2 closure, so throughout cycle 3.
 
2.)   There will be a separate WebAdMIT portal for you to access your cycle 3 applicants. Meaning any applicants who apply after the closure date of cycle 2 will be available to you in a different WebAdMIT portal. You will not be able to view applicants from cycle 3 in your current WebAdMIT portal.
 
3.)   Additionally, your WebAdMIT portal to view cycle 3 applicants will not be available to you until roughly two weeks after the closure of cycle 2.
 
a.     If July 2 – 15, 2012 is the closure date then your WebAdMIT portal to view your cycle 3 applicants will be available around July 30.
b.    If July 16 – 30, 2012 is the closure date then your WebAdMIT portal to view your cycle 3 applicants will be available around August 13.
c.     If August 1 – 15, 2012 is the closure date then your WebAdMIT portal to view your cycle 3 applicants will be available around August 30.
 
4.)   To view any applicants who applied during August 15, 2011 and the closure date (cycle 2) you will be able to view them in your current WebAdMIT portal. Any applicants who apply after the closure date you will be able to view in a different WebAdMIT portal that will be made available to you roughly two weeks after cycle 3 launches. Unfortunately, there is no way to carry over the applicant data from cycle 2 into your WebAdMIT portal for cycle 3. This is because some new data fields will be added. However, you will be able to transfer most of your settings and users in your WebAdMIT portal.
 
5.)   The data dictionary for WebAdMIT for cycle 3 should be available in late May. Please note if you export the NursingCAS data in order to import it into your ERP or student information system then your IT staff should review the “change log” on the data dictionary for cycle 3 once it’s available in order to determine which fields are different or new for cycle 3 and whether or not you will want to add or delete any fields to your export.
 
Questions about the Closure?
The NursingCAS staff will schedule a Webinar for schools in March to explain how the closure date might impact your program depending on your deadlines and your open and close dates for certain program designations, who can be a re-applicant, instructions you should give your applicants, timeline on when applicants should apply before and after the closure, NursingCAS’ communication plan to applicants regarding the closure, and to give you the opportunity to ask questions. We want to this to be a smooth transition for everyone. The sooner schools and applicants are aware of the closure date and the implications, the better.
