***The Greenfield pool will be closed this summer due to construction.***Pool UpdateDuring the rest of February the Board worked with Consilium Partners, our Owner Rep. and Construction Over site Manager, to create and advertise the Request for Proposal (RFP) for the General Contractor (GC). February 18th, Consilium and the Board opened our pool area for the GC's to participate in a Site-Walk of our pools and pump room. We had eighteen GC's in attendance and spent about an hour and half walking the site, reviewing all existing site conditions and concerns. We reiterated our site's major problems: the expansive soil, the ruptured pipes, improper drainage both surface and underground. We also expressed our desire to investigate options of the depth layout design of our pools. During the Site Walk as we approached the pump room we heard water. The main line to the large pump had ruptured inside the pump room and, combined with the freezing temperatures, had covered the inside of the pump room in a geyser of ice. Water was still squirting all over the electrical box and dry-wall and the floor was under water and ice. We contacted ECCV and they came and shut down the water supply to the entire site. Here's the cause of our problem. Village Homes designed the pump room such that there is no Winter Shut Off to the water supply (the only place to turn the water off to the pool is to shut off the water to the Clubhouse as well). To make matters worse, the pump room is not insulated. Since we still had homeowners renting the clubhouse for the month of February, the water was left on so that they would have running water and use of the restroom. ECCV has been great. They agreed to travel back and forth and turn the water on and off for our clubhouse party rentals so there would be toilets and sink water. After the Site Walk, the Board received seven proposals. On February 27th, Consilium provided the Board and the participating homeowners a comprehensive analysis. This side by side comparison reviewed all seven firms in the following categories:
In an effort to continue to compare apples to apples we further broke down the costs using the AIA CSI division for project costs provided by Consilium. Here is a list of cost items that we compared:
In addition the RFP for the GC's requested a line item cost for the Caissons and Piers system, a Performance & Payment Bond, and nine pool options:
At the conclusion of this 3 hour meeting, with the help of Consilium and several homeowners, the Board narrowed the list of firms to interview to four. We selected:
Homeowners, the Board, and Consilium met the following Saturday, March 7th, and from 8a to 1p. We interviewed and compared firms. Consilium provided an evaluation sheet for us to use in comparing firms that included:
We asked each firm their experience with Caissons/Piers, how in their design they mitigate soils from rupturing pipes, safety questions, among others. By the end of the meeting, our team had eliminated two firms and needed additional information to choose between the remaining two firms. We created a list of additional questions generated from that morning's exposure to all the firms' different ideas. This past week Consilium forwarded these questions to the final two firms and did reference checks. We will be meeting again on Tuesday March 16th @ 9a at the clubhouse to continue the GC selection process. We are close on the selection of the GC and will announce the selected firm after our legal team reviews the contracts. With the narrowing of the firms, the Board's focus will be to reevaluate the financial planning, financing and project budget planning. The Clubhouse & Social EventsThe clubhouse will be closed starting in March - October 2010. The following community events --the Easter Egg Hunt, the 4th of July, and the Adult social will not be held. The Fall Festival is still pending.
