HandsOn Connect
         Coming Friday, February 25th            
Dear Project Leaders,
 
As mentioned in the Feb. PL Newsletter, we are getting a new website and administrative system called HandsOn Connect (HOC). The new site will have a sharper look and enhanced features for both volunteers and community partners.
 
If everything goes as planned, we will be live with our new site on Friday morning. Please note: This Wednesday & Thursday our website will be offline as the data transfer takes place from HOT to HOC.
 
Current Website / H.O.T.
Beginning tomorrow morning, the current L.A. Works website and H.O.T. admin. system will no longer function.
  • If you have not marked attendance for a project that you have lead through today, please do so by this evening.
  • If you are leading a project between tomorrow, Feb. 23 and Mon. Feb. 28th, I will send you the volunteer attendance & waiver for your project. You can still use this to mark attendance until March 1st.
New Website - Public & Administrative
Similar to the current website and H.O.T. system, there will be a public website where volunteers can search and sign up for volunteer opportunities. There will also be a separate administrative site which serves as the backend of what is displayed on the public site. Project Leaders will use the administrative site to manage their projects (similar to the H.O.T. system).
 
Information Transfer
All volunteer, project leader and project information and history will be transferred to HOC. The description of your managed project will be similar to the current description.
 
Using the New Website
For volunteer projects beginning Tuesday, March 1st, project leaders will need to use HandsOn Connect to manage their project. This includes viewing sign-ups, adding volunteers, emailing volunteers, printing the attendance sheet and marking attendance.
 
HandsOn Connect Manual
On Friday morning I will send out a HandsOn Connect Manual. This will be a step-by-step guide for using the new system. The steps involved will be similar to the functions in H.O.T. and it's manual. However, because the HOC system will be new and the layout different, and because HOC has more sophisticated features, it will take some time to become comfortable with.
 
Support
In addition to the manual, I will be available to answer questions and provided tech. support for using the new system. Please send an email with a brief description of the issue that you are having and the best time to speak. I can be available in the evenings if that works best.
 
Depending on the need, we may also set-up a Conference Call to go over how to use the new system. Possible dates are Thursday evening, March 3rd and/or Saturday afternoon, March 5th. More info to come.

New Feature:
Project Wait List
Volunteers will now be able to sign-up for a project wait-list through the public HOC website. When space opens, those on the wait-list will be notified automatically. The space(s) will be filled on a first-come, first-served basis. Volunteer Leaders will not have to hold spots for volunteers.
New Terminology
To align with the language of the new HOC system and prevent confusion in the future, we will be adopting some new terms for project leaders and projects. We apologize if this is an annoyance but it seems better to change terminology now to prevent confusion down the road.
 
* Project Leader will become Volunteer Leader. Both on the public HOC site and on the admin. site, the term Volunteer Leader (VL) is used. I will begin to use this term to refer to you all!
 
* Project will interchange with Managed Opportunity. Managed opportunity is the term used in the HOC admin. site, but both terms are used interchangeably on the public site.
 
* Admin. site will become Volunteer Leader Portal. The VL Portal will be where Volunteer Leaders manage their projects. More on this on Friday.
